INFORMATION WE COLLECT
We collect and process personal data from you if you choose to subscribe to press releases, newsletters, marketing or other information. We collect and process personal data from you if you apply for any Ashoka Nordics events, seek employment, recommend a third party for employment or nominate someone as a Nordic Ashoka Fellows candidate, respond to questionnaires or perform transactions via the website.
Examples of categories of personal data which is collected and processed by us are:
name, address, website address, IP address, contact information and information from social media which you choose to disclose to us;
organization (including the organization’s name, website, telephone number and address), fields of work, language and location; and
the results from questionnaires which you have chosen to answer.
The personal data may relate to you and/or persons that you choose to nominate or recommend.
HOW WE USE THE PERSONAL DATA WE COLLECT
If you have notified that you wish to receive information from us such as, for example, newsletters, marketing and other offers, then your personal data will also be used for these purposes. The personal data is processed with your consent. You always have the possibility to say no to such information, either directly in the correspondence or by contacting our customer service department.
Personal data which is processed in connection with notifications to events, evaluation of employment candidates and/or Nordic Ashoka Fellows-candidates, in conjunction with your contacts with our employees and when we process responses to questionnaires which you have sent are used for these purposes. The personal data is processed by Ashoka Nordic by virtue of a weighing of legitimate interests.
In order to provide the services requested by you, we may process your personal data in order to administer a contractual relationship. If we are obliged at law or otherwise believe that it is necessary in order to, for example, comply with a legal obligation, legal proceedings or a request, then we will also share your information with law enforcement authorities, public authorities or other organizations.
HOW LONG DO WE STORE YOUR PERSONAL DATA?
We will retain your information as follows:
technical data (e.g. IP address and other information concerning your device) which is collected when you visit the website will be stored for 90 days;
if you subscribe to our newsletters, marketing or similar offers, we will store your data until you terminate the subscription, following which we will only store the information which makes it possible for us to respect your wish to cancel the subscription;
personal data which is processed in connection with notifications to events, evaluation of employment candidates and/or Nordic Ashoka Fellows-candidates, in conjunction with your contacts with our employees and when we prepare responses to questionnaires which you have submitted will be stored as long as such is necessary in order to fulfil the purpose of the processing.
After the period which is specified above has expired, we will store your data in an aggregated and anonymized format in order to help us to understand historical behaviour and improve the website.
Your personal data will be stored during a longer period of time than what is specified above if such is required by law or a decision by a court and/or where required in order to defend or safeguard a legal claim.
TRANSFER TO THIRD PARTIES
In order to provide the services requested by you, we may share your personal data with group companies, our partners, consultants and suppliers. Third party service providers are used, for example, for collection and analysis of visitors’ behaviour patterns, to process answers to questionnaires, processing of data in order to facilitate Ashoka’s communications, handle nominations, troubleshoot problems on the website’s infrastructure and server hosting, IT consultancy service as well as related services. These parties act as data processors on behalf of, and we have entered into an agreement with, such parties regarding their processing of your personal data.
TRANSFER TO THIRD PARTY COUNTRIES
Ashoka acts on a global basis and your personal data will be transferred to group companies, partners, consultants and suppliers which are situated in other jurisdictions than your domicile in order to provide the services pursuant to the above. If such a third party exists in a country outside the EU/EEA, your personal data may be transferred to such a country which does not have a corresponding level of personal data protection. Ashoka will take appropriate protective measures in order to protect your personal data in connection with such transfer. You can request further information at any time concerning such transfers and protective measures as used by Ashoka.
The security for your personal data is important to us. We use appropriate technical and organizational measures in order to protect your personal data against loss, theft and unauthorized use, access or modification. We encrypt information which is sent to, and is shown on, the website with the help of TLS technology (Transport Layer Security). Even though we will do our best to protect your personal data, we cannot guarantee the protection of your personal data where such is transferred via the website or via email and all transfer of information occurs at your own risk.
You have the right to request information concerning your personal data which we process and how it is used. You can also request that data concerning you is corrected if it should be wrong. In accordance with applicable legislation, you also have the right to request that your personal data shall be deleted or that the processing of your personal data shall be limited, and you also have the right to object to the processing of your personal data and to request to have your personal data transferred in electronic format.
